AI agents

AI agent vs chatbot: what is the difference and which does your business need?

A chatbot answers questions; an AI agent runs a process: it reads the whole thread, replies in context and hands a warm conversation to a person. Anthropic describes this as the difference between a predefined path and a model that directs its own work. Our AI agent is part of the "Client flow" package at €600 per month + VAT; we quote a chatbot after reviewing your website.

What is the difference between a chatbot and an AI agent?

The difference is who decides the next step. A scripted chatbot follows a decision tree written in advance. A chatbot that answers from your materials looks for the answer there and, if it finds nothing, passes the conversation to a person. An AI agent chooses what to do next on its own: reply, continue the thread or hand the conversation to a person.

In "Building effective agents" (19 December 2024), Anthropic separates two things. In a workflow, the model and tools follow a predefined code path. An agent is a system where models "dynamically direct their own processes and tool usage", that is, the model runs its own work and tools. Anthropic compares workflows with agents, not chatbots with agents, but in our view a scripted chatbot is in essence a workflow. On the page itself, Anthropic notes that some of the tools it mentions have changed since publication (checked 25 October 2026).

The word "agent" in a product name proves nothing. Before you buy, ask what happens when a customer asks something that is not in the script. If the system stops or replies with a canned text, it is a script.

Chatbot vs AI agent vs autoresponder: comparison table

The three tools differ in where they work and when a person steps in. An autoresponder sends everyone the same text. A website chatbot answers from your materials. An AI agent runs the email thread and hands a warm conversation to a salesperson. The chatbot and agent columns describe our services, not the whole market.

When is a chatbot enough?

A chatbot is enough when website visitors ask repeat questions and the answers are already written on your pages, in your price list or FAQ. A chatbot answers right away, instead of the visitor waiting for an email or a call back. When it does not know, it says so and hands the conversation, with its full history, to a person, for example by email or Telegram.

Anthropic recommends the same: start with the simplest solution and add complexity only when it clearly improves the result. Agents usually trade speed and cost for better results. If the questions are predictable and the answers are written, an agent is needless complexity.

A chatbot costs more than money. The materials it answers from must be prepared and kept up to date: if your price list changes and the bot does not get the new one, it will answer from the old one. In Latvian, models sometimes make more mistakes than in English, so a person checks the answers before launch and regularly after. More: website chatbot and does an AI chatbot speak Latvian.

When do you need an AI agent?

You need an AI agent when you have many email conversations with potential clients and not enough people to continue each one personally. Our agent keeps the thread active, replies based on what has already been said in that conversation, and hands a warm conversation to your salesperson with the full context.

Anthropic recommends agents for open-ended tasks where you cannot know the number of steps in advance, and workflows for well-defined tasks. A sales email thread is exactly that kind of open-ended task: you cannot know after how many emails a person will reply or what they will ask.

Our agent works in email threads; the website window has a chatbot. If you talk to clients mostly by phone or in person, an email agent will not help; for voice calls, read how much a voice agent costs.

The agent's cost is more than the monthly fee. It works together with a lead base and campaigns, so we do not sell it on its own, and you need a person who takes the warm conversations and continues them. More: AI agent for business and client acquisition.

How much does a chatbot or an AI agent cost?

Our AI agent is part of the "Client flow" package at €600 per month + VAT, which is €726 with 21% VAT. The package also includes a lead base, cold email campaigns, the agent's infrastructure and upkeep up to agreed limits. There is no annual contract; you can stop with 30 days' notice, with no penalty and no setup fee.

We quote a chatbot after reviewing your website. The price depends on how many questions and topics the bot must cover, whether it reads only the website or also price lists and documents, which channels it works in and how it hands the conversation to a person. The monthly fee covers conversation volume, token costs and technical upkeep.

Platforms charge differently. Intercom charges USD 0.99 per outcome for its AI agent Fin. An outcome counts when the customer confirms the question is resolved, or does not ask for more help after Fin's answer, or Fin completes a workflow, including a handover to a person. It is charged once per conversation, and there is a monthly minimum (intercom.com/pricing, checked 25 October 2026). On a platform you pay for an outcome the platform itself defines; with us you pay a fixed monthly price for a process. We compared other platforms' prices in how much does an AI agent cost.

What can go wrong with an AI agent in customer communication?

More often than a seller would like. In a Sinch study published on 13 May 2026, which surveyed 2,527 senior decision-makers in 10 countries in January and February 2026, 74% of companies said they had already rolled back or switched off an AI agent in customer communication after deployment because of a governance failure. Among organizations with fully mature controls, the figure was 81% (checked 25 October 2026).

Two caveats. Sinch itself sells communication services, so this is a vendor study. And Sinch explains the high 81% by better oversight: the most mature organizations notice failures sooner, not perform worse. That is Sinch's explanation, not a proven fact.

Anthropic writes that more autonomy raises cost and the risk of compounding errors, so an agent should first be tested in a sandboxed environment with guardrails. Our answer to this risk is simple: a named person reads the agent's text before it is sent, and the chatbot answers only from your materials and admits when it does not know; a person reviews its answers before launch and after. We do not promise a specific number of conversations or clients in advance.

Do you have to tell visitors they are talking to a bot?

This is covered by Article 50 of the EU Artificial Intelligence Act. What it requires from chatbots and voice agents we explain in a separate article: do you have to disclose that a bot is answering. This is not legal advice: ask a lawyer about your own case.

How to choose: five questions

The choice is often made not by taste but by where and how you already talk to clients. Before you choose, answer five questions:

  • Where do conversations happen? On the website, a chatbot fits; in email threads, an AI agent. If clients call or come in person, neither will do this job.
  • How many conversations are there, and do you have enough people? If your people can continue every conversation themselves, you do not need an agent yet.
  • Are the answers already written? A chatbot answers only from your materials. If you have no FAQ or price list, start with those.
  • Who takes the warm conversation? Both a chatbot and an agent hand the conversation to a person. If there is no one to take it, both will work for nothing.
  • What must the bot not do? For example, promise a price, deadline or discount that is not in your materials. We write these rules down before launch.

What do we offer in each case?

For the website window, we build a chatbot that answers only from your pages, price lists and FAQ, admits when it does not know, and hands the conversation with its full history to a person. We quote the price after reviewing your website. For email threads, there is the AI agent in the "Client flow" package at €600 per month + VAT, together with a lead base and campaigns.

A named person reads the AI agent's text before it is sent; a person reviews the chatbot's answers before launch and spot-checks them after. The domain, accounts and collected data are registered to your company from the start. There is no annual contract; you can end the work with 30 days' notice.

Frequently asked questions

What is the difference between an AI agent and a chatbot?

A chatbot answers questions from a script or from your materials. An AI agent chooses the next step itself: it reads the whole thread before replying, answers in context and hands a warm conversation to a person. The learnxMI chatbot works on the website; the AI agent works in email threads with potential clients.

Is an AI agent just a smarter chatbot?

No, it is a different kind of work. A chatbot answers when a visitor asks. An agent runs a process: it continues the thread, replies to interested people and hands warm conversations to a person. If the questions are predictable and the answers are written, a chatbot is the simpler and sufficient solution.

What is a predefined script and what is an agent?

In Anthropic's article "Building effective agents" (19 December 2024), a workflow is a system where the model and tools follow a predefined code path. An agent is a system where the model directs its own work and tools. In our view, a chatbot with a decision tree is in essence a workflow.

Do I need a website chatbot or an AI agent?

If clients ask on your website and the answers are on your pages or in your FAQ, a chatbot fits. If you have many email conversations with potential clients and not enough people to continue them, an AI agent fits. If you talk to clients by phone or in person, the learnxMI email agent will not help.

How much does an AI agent or a chatbot cost?

The learnxMI AI agent is part of the "Client flow" package at €600 per month + VAT, which is €726 with 21% VAT. learnxMI quotes a chatbot after reviewing the website: the price depends on the number of topics, the sources, the channels, the handover to a person and the conversation volume.

Does the AI agent reply to clients on its own, without a person?

The agent writes replies itself, but in the learnxMI process a named person reads and corrects every AI-written text before it is sent. The agent hands a warm conversation to your salesperson with the full context. We do not promise a specific number of conversations or clients in advance.

Do I have to disclose that a bot is answering?

This is covered by Article 50 of the EU Artificial Intelligence Act. The learnxMI article "Do you have to disclose that a bot is answering" explains what it requires from chatbots and voice agents. This is not legal advice; ask a lawyer about your own case.

Can I start with one service and add another later?

Yes. learnxMI services are built as consecutive steps: website, lead base, cold email campaigns, AI agent and advertising. You can start with one step and add the next ones when you see results. We discuss a chatbot together with the other steps in a free consultation.

Is there an annual contract?

No. learnxMI works without annual contracts: you can stop the subscription with 30 days' notice, with no penalty and no setup fee. This also applies to the "Client flow" package that includes the AI agent, so you can try the agent without a long-term commitment.

Who owns the accounts and data?

You do. learnxMI registers the domain, website, ad accounts, email inboxes and collected data to the client's company from the very start. The chatbot account, configuration and integrations are also in your company's name, and access stays with you even if you stop working with us.
